Mission of the Position
The Office Manager/Receptionist will be responsible for ensuring the smooth day-to-day operations of the NYC office, providing administrative support, and creating a welcoming environment for employees and visitors. This role is critical in maintaining office efficiency and a professional atmosphere.
Top Accountabilities
- Office Administration – Maintain an organized and efficient office space, including ordering supplies, coordinating with vendors, and ensuring all office equipment functions properly.
- Reception Duties – Greet guests, answer and direct phone calls, and assist with scheduling as needed.
- Facilities Management – Oversee office maintenance and cleanliness, liaising with building management as necessary.
- Administrative Support – Provide support to team members, including data entry, mail distribution, and document organization.
- Event Coordination – Assist with in-office events, meetings, and client visits, ensuring a seamless experience.
Other Duties & Responsibilities
- Assist in onboarding new employees by setting up workspaces and ordering necessary materials.
- Maintain conference rooms and common areas to ensure a professional appearance.
- Coordinate deliveries and manage incoming/outgoing mail.
- Support HR and other departments with ad-hoc administrative tasks as needed.
- Prior experience in office administration, reception, or a related role.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Professional and friendly demeanor.

Physical Requirements
- Must be able to remain in a stationary position 50% of the time.
- Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
- The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
